This policy explains how Fresh Cleaning 4U (“we”, “us”, “our”) collects, uses, discloses and protects your personal information. We are committed to handling personal information in accordance with the Australian Privacy Act 1988 (Cth) and the Australian Privacy Principles (“APPs”).

1. Who we are

Fresh Cleaning 4U provides residential cleaning services in Australia. For any privacy matter, including to access or correct your information, contact us at [email protected].

2. What personal information we collect

Depending on your relationship with us, we may collect:

  • Clients: your name, email address(es), phone number, service address(es) and their approximate location, service notes, and your invoicing and communication preferences.
  • Employees: your name and legal full name, email, phone number, Australian Business Number (ABN), bank details for payment, pay rates, work schedule, hours worked, and the location recorded when you clock in and out of a job.
  • Everyone: your sign-in details (a securely hashed password and a session cookie) and limited security logs (such as the IP address linked to sensitive actions, for audit and fraud prevention).

3. Why we collect and use it

  • To schedule and deliver cleaning services.
  • To record clock-in/out, calculate pay and issue invoices.
  • To send you transactional messages such as cleaning reminders and invoices by email or SMS.
  • To meet our legal obligations, including tax and employment record-keeping.
  • To keep the platform secure (audit logs, rate-limiting, fraud prevention).

We only collect personal information that is reasonably necessary for these functions (APP 3), and we use it for the purposes it was collected for or a related purpose you would reasonably expect (APP 6).

4. Who we disclose information to

We do not sell your personal information. We share it only with service providers that help us operate, under appropriate safeguards:

  • Email delivery (Resend) — to send invoices and reminders.
  • SMS delivery (Twilio) — to send reminders.
  • Address look-up (OpenStreetMap Nominatim) — to locate service addresses.
  • Cloud hosting and database providers — to run the application.

5. Overseas disclosure

Some of our service providers store or process information overseas (for example, in the United States or Europe). Before disclosing personal information to an overseas recipient, we take reasonable steps to ensure it is handled consistently with the APPs (APP 8).

6. How long we keep information

We keep personal information only as long as we need it. Email and SMS communication logs are automatically deleted after 18 months. Financial and tax records (such as invoices and payroll) are kept for the period required by law; after that, the personal information they contain is de-identified (APP 11.2).

7. How we protect information

We take reasonable steps to protect your information (APP 11), including encrypted connections (HTTPS/HSTS), strong password hashing (bcrypt), role-based access control, login rate-limiting, a strict content security policy, and audit logging of sensitive actions.

8. Accessing and correcting your information

You may ask us to give you access to the personal information we hold about you (APP 12) and to correct it if it is inaccurate, out of date or incomplete (APP 13). On request we can provide a copy of your data in a machine-readable format. There is normally no charge for these requests.

9. Deleting your information

You can ask us to delete your personal information. Where we are required to keep certain records by law (for example, invoices or payroll), we will instead de-identify that information so it can no longer be linked to you.

10. How to make a request

Email [email protected] from the contact details we hold for you. We will verify your identity and respond within a reasonable time.

11. Cookies

We use only strictly-necessary cookies needed to keep you signed in (your session). We do not use advertising or third-party tracking cookies. You can block cookies in your browser, but the application will not work without them.

12. Changes to this policy

We may update this policy from time to time. We will revise the “Last updated” date above when we do.

13. Complaints

If you have a privacy concern, please contact us first so we can try to resolve it. If you are not satisfied with our response, you may lodge a complaint with the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au.
